Our New Jersey boutique law firm seeks Executive Legal Assistant/Paralegal with at least 5-10 years of solid law firm experience

Responsibilities
Management of new file creation and maintenance of file database
Verify scheduling and perform filings on PACER, eCourts, and eCourts Appellate
Mediation, negotiation, and other applicable scheduling with clients and opposing parties
Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, and briefs for case preparation and proofread documents, where needed and/or assigned
Manage partner correspondence and administrative tasks such as, but not limited phone calls, communicating with clients, and opposing attorneys' offices, responding to emails, monitoring upcoming deadlines, appointment scheduling, and calendar.
Strong ability to complete professional, error-free documents utilizing good grammar, spelling, and formatting skills, including accurate Responsible for all partner correspondence, agreements, briefs, memoranda, arbitration and mediation letters, pleadings, motions, all trial documents, reports, legal pleadings, outlines, and schedules.
Confirms related events/activities. Maintains, closes, and archives files. Interfaces with IT systems in conjunction with outside contracted IT firms.
Qualifications
Candidates must have a minimum of 5-10 years of solid experience in a law firm as an executive assistant/legal secretary/paralegal
Advanced communication skills including the ability to maintain a courteous and professional demeanor with clients, fellow staff members, and other counsel
Handle calls in a timely manner and ability to initiate oral and written responses to routine inquiries
Candidates must have worked with legal software and docketing programs
Comfortable working with all Microsoft 365 Office Products, especially Word and Excel, and have a high level of competence using technology (Adobe Acrobat, Time Matters, Timeslips)
Applicants must have excellent communication and organizational skills, be motivated, and a self-starters
Able to manage and delegate work to firm paralegals
